ScoutsForms.UK & Avion TSL - ScoutsForms.UK is a product of Avion TSL. ScoutsForms.UK is acting as an independent contractor and not as an employee. We acknowledge that this agreement does not create a partnership or joint venture and is exclusively for the contract of the service*

Data Protection - All ScoutsForms.UK data is stored inline with the General Data Protection Regulations 2018. The rights associated with the system and underlying database will remain with ScoutsForms.UK/Avion TSL and {organisedBy} will have no rights to use the system beyond the event listed in this agreement.Rights to the data collected and stored within the system will be with {organisedBy} and Avion TSL shall not divulge or use any of this data for any purpose other than for the support of the event listed above. However, part of the health form includes asking individuals if they are happy to be contacted about the future of and other events administered by ScoutsForms.UK, Avion TSL will provide this list after the event. SScoutsForms.UK is a data processor and will notify the event of any data breaches in line with GDPR guidance. All data is deleted 1 month after the end of the event.*

Cancellation - Either party can cancel with a minimum 30 days’ notice in writing. If this agreement is cancelled by {organisedBy} or associated members, data held by ScoutsForms.UK will be deleted after 30 days. If this agreement is cancelled by Avion TSL then all data will be transferred to in a secure format that can be used. This transfer will happen within 14 days.If {organisedBy} cancel this agreement within 14 days of {startDate} - 50% of the final invoice will still be charged. The basis for cancellation would be resulting on either side not fulfilling their obligations.*

Vendor Lock Out - Avion TSL will ensure that a regular offline backup is taken to insure against potential Vendor Lock Out of the hosting servers, or will obtain assurances from the hosting company that sufficient redundancy is in place to prevent loss of data if a server were to be seized.*

Payments - All invoices submitted by Avion TSL are due for payment within 30 days. Avion TSL reserves the right to charge up to 50% in advance of the event with the remaining amount to be invoiced post event.*

Advanced On Site Support

You have selected the advanced on site support system, this includes:
- Site wide network
- On site computer system with Role Based Access
- Scanning devices (Barcode & Card Reader)
- Various computers/terminals
- System for reprinting ID's
- 1 member of Scouts EMS Personnel for the duration
- Offline management system, no internet required
All equipment is subject to discussions about your event, all events are completly different so please do talk to us to make sure we meet your needs. We can upgrade or downgrade your support package at a later date if this does not work for you.
Online Self Managed Support

You have selected the online self managed on site support system, this includes:
- Access to our dedicated online management system
- ID's posted out in advance of the event
You will need to supply your own scanners or devices on event, if you need to hire these then please get in touch.
No On Site Support

You have selected no on site support, you will only have access to the online reports.

We will not provide any exports of data.
Declaration - By submitting this form I am accepting that what I've completed is correct and understand that this is a binding contract.
