Retention Policy:
It is the norm for any information to be retained for up to 7 years (6 years + current year). HMRC requires us to do this for accounting purposes, and so for this reason, we must keep any information we hold for up to 6 years after the tenancy ends. This is also because the limit of time to apply to small claims court in the UK is 6 years (the limitation period) from when the right to make a claim arises in England. This date is usually the end of the tenancy.
We only hold this data for legitimate work purposes to manage the tenancy and to ensure we have completed our due diligence on any applicant (tenant and guarantor).
We do not share this information with third parties, other than:
- Credit reference agencies (specifically CreditSafe UK)
- UK Court Agencies & Debt Collection Agencies
- Any accountants and current/future employers (to confirm your application information)
- The specific landlord of the property, future management agencies if applicable, and if the property changes hands, new owners and their solicitors
- Any referees that you state on your application
- Ourselves in respect to managing the tenancy
- Utility companies where applicable
