  • Job responsibilities Including (but not limited to):

    • To receive, respond to and diarise all enquiries relating to table bookings and events via Design My Night, telephone, email, Facebook and Twitter.
    • To deal with all authentications/deposits for these.
    • Ensure the calendar is kept up to date and the relevant GMs and AGMs are aware of all bookings and hires.
    • To effectively communicate any guest requests to venue staff.
    • Check EON reports for any that mention no-shows or parties which are smaller than booked and then amending them on DMN as reported.
    • To use the EON reports to process refunds as required on DMN.
    • To check and respond to all voicemail.
    • Respond to all messages, reviews and check-ins on social media and to interact with guests as much as possible in a friendly and courteous manner!
    • To communicate any last-minute reservations/cancelations directly to venue staff.
    • Respond to and log all lost property enquiries.
    • To have a good knowledge of all our venues and to pass this on to all members of the team.
    • To manage the reservations team. Create resources and training material. Hire, train and rota them and create the work schedule for the team.
    • To create a calendar of upcoming events for events and marketing purposes.
    • To manage venue calendars of upcoming hires.
    • To manage all 30 plus enquiries to the business. Liaising directly with all bookers to handle objections, personalise the handling of their events (offering add ons, specials and deals where necessary to confirm the booking).
    • Organise printing and distribution of all promotional materials.
    • Manage all of Simmons listings, apps and online presence.
    • Arrange advertising online/in print and to create mail outs and manage the mailing lists, including being aware of issues around GDPR.
    • Organise promotions and events, including idea creation, hiring promo staff and – attending and working events.
    • To communicate promotions/offers/events/programming to venue AGMs and GMs.
    • Creating and managing all ticket sales for events such as NYE.
    • Creating relationships with reviewers/bloggers/VIPs in order to get coverage for venues and events.
    • Organise venue photography and be there for shoots.
    • Arrange filming/day time hires for venues and organise access.
    • Programme all live music and quizzes. 
    • To manage the office by monitoring and ordering supplies. Organise team meals etc.
    • To induct new staff and set up all AGMs and GMs with email addresses, DMN and Timetastic and do a brief session with them on how to use all of these accounts.
    • Do references for all staff and deal with HR questions.
    • Scheduling and attending all head office meetings.
    • To update staff contracts, job specs, handbooks and manage HR.
    • To upsell the venue’s facilities at every opportunity which will improve guest satisfaction and maximise revenue and to encourage all reservations staff to do the same.
    • To communicate all relevant information to colleagues within the department and also to members of staff and managers within the venue.
    • To report all guest comments and feedback to the venue managers and to get their feedback in order to respond appropriately to complaints.
    • To ensure privacy and confidentiality of customers is to be respected at all times.

    • A dedication to providing a high level of customer service.
    • Previous reservations experience is essential as is experience of DMN including setting up new venues, managing booking rules and using reporting.
    • Excellent organisation skills, the ability to multitask and to plan in advance.
    • Strong interpersonal skills
    • Calm and collected under pressure
    • A passion for the Simmons concept.
    • A great command of spoken and written English to provide a professional and personable service.
