For access to the UFS grounds, a small amount per vehicle is charged per day. Access can be purchased in advance at Computicket or at all the access gates of the UFS. Most venues for productions are within walking distance of the Arts Market. Accommodation in student-residences is also within walking distance of the Arts Market and production venues.
Because the market area of the Vrystaat Arts Festival is so unique and extensive, it is necessary to look more closely at certain aspects.
The University of the Free State’s facility management (clearly recognisable by their clothing) will conduct strict inspections, as in the past, and will give out warnings to stall owners who do not comply with rules.
The Red Square (the terrain in front of the Main Building) has undergone major changes and this will affect the placing of the stalls. We currently are working on a new layout plan.
No vehicles will be allowed on the Rooiplein, during Market trading hours deliveries are only allowed in the mornings until 08:30, after which each vehicle must leave the site.
Please note: Under food stalls, we include applicants who sell prepared food (take-aways), pre-prepared food (sweets, cookies, dried fruit, etc.) and unsealed products (biltong, ice cream, etc).
Indicate ALL products you are going to sell. Your main product may not be changed and you may not sell anything that is not on your application form. If you want to add a product after you have submitted your application, you have to call the arts market organiser to apply for approval. The Vrystaat Arts Festival strives to offer only handmade products. However, there is a need for a small amount of factory-manufactured products from other parts of the world. The Arts Festival has a list of exhibitors selling these products, with a good record.The Vrystaat Arts Festival will not allow any products or packaging material with racist, sexist or xenophobic messages. Such products/wording will be confiscated. All the stalls and products must be of high quality. Take note: NO counterfeit products are allowed.
Your application will be presented to a selection committee. Each application will be considered by the committee according to the guidelines set (see below). The committee’s decision is final and no correspondence or discussions will be engaged in.
No guarantee can be given that a vendor will get the same stall location as in 2019. The results of the selection will be announced on Wednesday 1 April 2020, via SMS, e-mail or fax. If you have not received any results by Thursday 9 April, you can call the following number: 051 404 78 11.

The halls will close, outside stalls can trade until later, but it is not an obligation. There is confusion with the public about the starting dates of the Main Festival and the Arts Market. The festival grounds are also open, and therefore it is very difficult to hold the public out of the market area on Monday when the stalls are being built. The festival management in conjunction with Protection Services does everything possible to ensure the safety of stalls and their merchandise but will not be held liable for any damage.
The stall rental is fixed for the duration of the festival and includes VAT. Once the new layout of the stalls is ready, it will be posted on the web page.
Only one power point per stand. This powerpoint is only for the use of a light and card machine. It is your responsibility to indicate, what other electrical equipment (e.g. kettle, stove, deep-freeze or refrigerator) you will use more, and how much electricity will be needed. An additional amount will be charged for using multiple electrical appliances. No electric heaters will be allowed, only gas heaters. The Vrystaat Arts Festival will discipline those who use more devices than applied and approved for, or who do not affix the coloured sticker (provided to you with registration) onto his/her plug. Offenders will be fined and appliances will be removed. You have to provide your own extension cord and electrical accessories. All appliances must be in good working order.
PLEASE NOTE: If you are the cause of an electrician being called in, you will be liable for the costs incurred.
No one is allowed to sleep over on the festival grounds. There is a small camping area available for tents only. Call the Arts Market Office for more information. The Vrystaat Arts Festival presents an annual Best Stall competition. Every year 4 new judges, representatives of our sponsors, taking care of the judging of the stalls. Each judge looks at the products and layout differently. This year we will also give 2 exhibitors a chance to be part of the selection process. If you are interested in being part of this process send an email to the Market Manager. There are six categories:
The stalls are judged on neatness, originality, artfulness and user-friendliness. The prize is a free standard stall (3m x 3m) at the Vrystaat Arts Festival in 2021. An encouragement certificate is also awarded in each of the above-mentioned categories.
The Vrystaat Arts Festival reserves the right to prevent any stall-owner from erecting a stall or to remove a stall or give instruction to remove a stall if the vendor should be in contravention of, or not comply with any rules or regulations, including if the vendor should:
Still owes payment to the Vrystaat Arts Festival.
Makes him- or herself guilty of misbehaviour.
Water drainage pipes may not be used for disposal of oils, fats or food. If you need to make use of oils, fats or dishwashing water at your stall, indicate it on the application form.
The stall’s infrastructure does not conform to the standards set by the Vrystaat Arts Festival.
No tent pens or gazebos are allowed on asphalt or grass. Only cement or water anchors may be used. If you are unsure contact Atie during office hours at 051 404 7811.
Neglecting to supply a fire extinguisher in good working order.
Sleepover at the stall.
If the exhibition space is dirty and/or untidy. The exhibitors are responsible for placing garbage in black garbage bags and bringing them to the garbage containers or to the strategically placed Skip Bins. Cooperation is sincerely appreciated.
Stalls selling alcohol and/or soft drinks will also be held responsible for removing their own packaging, bottles and cans at their own expense every day or bring it to the strategically placed Skip Bins.
Hawk wares around the festival without permission.
Sublet the stall without the written permission of management.
Not keep to trading hours.
Not keep to the rules and times of setting up and packing up of the stall.
All stalls and tents must be evacuated and dismantled by 12:00 Sunday, 5 July. The Beer Tent and Volksblad tent has other arrangements due to the size of the tents
If any legal offence is committed.
Exhibitors may not obtain any sponsorships or provide exposure for any entity at the festival. Sponsorship agreements may only be established between the Vrystaat Arts Festival and the sponsors. Marketing and promotion material that has not been approved by the Vrystaat Arts Festival, will be removed.
Move to a different exhibition area without permission.
The stall’s location must be left as it was found. ALL garbage must be removed and taken with you or placed in the strategically placed skip-bins.
Stall owners older than 60 years receive a 10% discount on their rent upon providing their identity documents. The discount does not include any cost for extra electricity and the full amount will be charged to cover the costs.
A cancellation fee of 10% plus VAT will be deducted from the amount of rent paid should the vendor cancel due to unforeseen circumstances up to one month before the Vrystaat Arts Festival commences (deadline 1 June 2020). If you should cancel after this date, no refunds will be made. A fine of R280 will be charged if the full amount of the stall rent is not paid by the 1 June 2020. Strict actions will be taken against trespassers

Provide a complete list of all the products you plan to sell. Your main product has to top the list.
Due to extensive changes and paving activities on the Red Square the placing of stalls in the B and C Block as well as certain spaces in the A and D Block will only be known by February 2020. No more use of oils will be allowed on the new pavement, therefore many of the food stalls in Block B & C will have to move.
Let us know in which category you would want to be placed.
Also, no heavy vehicles will be allowed on the Red Square anymore.
The placement of stalls in Block E, Die Laan and all the inside stalls will remain the same. If you indicate on your online application form that you will pay your full stall fee before December 31, we will send an invoice to you with the 2019 prices. Thereafter, the stall prices will go up by an average of 5%.
