  • Terms and Conditions of Booking

    Financial issues

    Cancellations: Course cancellations or postponements will be charged according to the following:

    1.  Four weeks notice prior to delivery date - No Charge
    2. Between 2 weeks and 4 weeks - 50% of course fee, plus expenses
    3. Between 8 and 14 days - 75% of course fee, plus expenses
    4. 7 days or less notice - 100% of course fee, plus expenses
       

    Expenses

    Expenses will be charged on one of the following bases, as shown on the Training Confirmation Form:

    ·         Full expenses, as incurred by Exclusive, or

    ·         Fixed expenses, as agreed.

    Where expenses include payment of a Registration Fee e.g. for a qualification with an Awarding Body, once a candidate’s registration details have been provided to us, the fee becomes non-transferable and non-refundable.

    Invoices are submitted in advance of all training, unless previously agreed with the client.

    Exclusive Training reserves the right to increase fees on an annual basis in line with inflation and increased costs.  Exclusive Training’s terms are 14 days. All charges may be subject to VAT.

    Health and safety

    Guidance: The client will be responsible for providing a suitable and safe training venue. 

    Further Health and Safety Guidance is available upon request.

    Injury risk

    There is always a risk of injury during training, especially where physical skills are taught. Exclusive Training reduces this risk as far as possible through careful programme design and the use of skilled and experienced trainers.

    Delegate fitness

    The client should ensure that delegates are physically and mentally fit for ordinary duties and to undertake the training. In order to protect the medical, emotional and psychological welfare of staff, clients must not send any individuals on to courses who may be suffering, or likely to suffer, any post-incident trauma. Delegates must also have a responsible attitude to the participating in the training.

    Special needs

    The client is to inform Exclusive Training of any delegates with special needs and to provide suitable information, equipment or services that may be required (i.e. interpreters, disabled access).

    Training issues

    Venue: The training venue provided must be appropriate in size and equipped for delegates to move freely in scenario work and, where applicable, for physical skills practice with a partner.

    Exclusive Training reserves the right to cancel/postpone training if the venue is considered unsuitable for safe and effective training and to charge a full cancellation fee accordingly.

    Trainer and support material

    Exclusive Training will be responsible for providing a suitable and fully briefed trainer, electronic equipment as required, all other training equipment, support materials, delegate feedback forms and support notes.

    Trainers

    All Exclusive Training trainers/Instructors are qualified to National requirements and the company commits to providing the same quality of trainer during client programmes. Wherever practicable Exclusive Training will seek to notify clients of proposed trainer/s and provide the same trainer/s but reserves the right to change trainers.

    Behaviour obligations

    As part of a safe system of work, all delegates are under an obligation in law to comply with the requirements of the trainer whilst undertaking physical skills training. Any delegate who deliberately or recklessly puts themselves or others at risk of injury will be excluded from training and may render themselves liable to criminal or civil litigation as a result.

    Should the behaviour, conduct or language of a delegate become so disruptive to the learning of the group, the delegate may be requested to leave the course or be expelled.

    Delegates must refrain from consuming alcohol during any refreshment or meal breaks and comply with legislation relating to smoking.

    Media

    Any media coverage/involvement in Exclusive Training must be formally agreed.

    Group size and trainer ratio

    To ensure the highest quality and safe learning environment the maximum number of participants and trainer ratio for each course is:

    1. Level 1 to 2 - Up to 20 candidates (except SIA)
    2. Level 3 and including physical intervention - One trainer to 12 candidates
    3. Specialist skills - Two trainers to 20 candidates
    4. Trainer training - One trainer to a group of 10

    Physical intervention trainers

    Client trainers who have taken on physical intervention skills must practise the skills on a regular basis with other qualified team members. Such training must be recorded. In addition any injury, near miss or other incident must be recorded.

    Certification and refresher training


    Exclusive Training will administer the issue of certificates provided by the relevant Awarding Body and will notify clients when refresher training is due.
