    Dear Member, dear Fair Trade friend,


    You are kindly invited to register for the WFTO 14th Biennial Conference and AGM 2017, taking place in Delhi, India, from the 9th to the 13th of November.

    Delhi will also host the World Fair Trade Week between 8-15 November, co-organized by WFTO and Fair Trade Forum India (FTF-I), and the 2017 Organic World Congress on 9-11 November.


    One Registration Form must be filled in per participant.

    Only WFTO registered/full members (with paid membership fees) are eligible to apply for the member's price.

    The normal fee will be extendable to WFTO members registering a second or other participants, regardless of the subsequent registration date, if the first registration has been completed during the normal fee period.

    NEW: A free registration will be offered to members registering 5 Board members or employees (the 6th person will be free).


    Registration are open until all available rooms have been allocated (only a few left). After that only non-accommodation packages will be made available. If you want to know more about it, contact delhi2017@wfto.com.

    The full registration package

    Included in the package:

    - 5 Nights in a 5* Hotel (Crowne Plaza Okhla); check-in on 9 Nov. after 12:00; check-out on 14 Nov. before 10:00; no discount for late arrival or early departure are possible.

    - Hotel taxes.

    - All meals (breakfast, lunch, dinner) and coffee breaks*.

    - Conference materials.

    - Transfer to/from Organic World Congress (details to be announced).

    * WFTO cannot ensure the meals provided (or their quality) for those who choose to attend the OWC on 10 Nov., but we will work towards providing you the best service possible.

     

    Excluded from the package: 

    - Transportation to/from the Hotel.

    - Visa costs.

    - Beverages and alcoholic drinks.

    - Use of the mini bar.

    - Any other expenses not mentioned as included.

    Accommodation at the Crowne Plaza Hotel
    (location of the WFTO Conference) will be awarded on a 'first come/paid, first served' basis (hotel booking will not be done until payment is received). There are a limited number of rooms blocked for this event and WFTO/FTF-I can not guarantee availability of your desired room type. If that is not possible, we will inform you. Triple rooms are only available on the normal registration period (until end June); they consist of a double room with an extra rollaway single bed.

    Please note that there are multiple large events taking place in Delhi around the time of the WFTO Conference and that finding accomodation may be extremely difficult.We strongly advise you to do an early booking. 

    If you have been awarded a WFTO scholarship for Delhi 2017, please do not register until you receive an email with instructions about how to register and make your payment.

    Payment instructions:

    You will be able to process the payment through Paypal, credit card (option available on Paypal) or bank transfer. Please ensure that WFTO receives the exact amount mentioned above.

    IMPORTANT - Before starting to complete your registration form:

    a) we recommend you to read the Visa requirements (see 'Useful Information Guide about Delhi')

    b) please be sure you have at hand: your WFTO identification number (if you are a member) and passport number.


    Please note that your registration will only be considered as "Accepted", after full payment of the registration fee (instructions regarding payment are at the bottom of this form). You will receive a receipt from WFTO when payment has been confirmed. Your payment should be complete within a maximum of 15 calendar days after the submission of this registration form. If your payment has not been received by then, your provisional registration will be automatically cancelled.

  • Foreign nationals who wish to attend the WFTO Conference in India are required to have a valid passport AND a valid Indian visa (in this case, a 'CONFERENCE VISA').

    Those arriving in India without a valid visa can be subject to immediate deportation on a return flight. Nationals of Nepal and Bhutan do not require a visa to enter India.

     

    Where can you apply for a CONFERENCE Visa?

    Generally, the Mission of India in your country (consulate or embassy) will issue your visa. Please check for the specific details applicable in your country. Be careful to apply for the correct visa category, in a way that your full stay in India is properly covered; this can change depending on your country. [For example, Dutch nationals, will be issued a visa valid for 3 months from the day it is issued by the Embassy of India (and not on the date of departure), 2 entries, which cannot be exchanged and cannot be extended in India.]

    In principle:

    - Participants can process the application online or directly with their respective Indian embassy. 

    - Nationals of Afghanistan, Bangladesh, Sri Lanka and Pakistan have to report the Visa application to the FRRO (Foreigner Regional Registration Office) or the nearest police station upon arrival. Nationals from China, Sudan and Iraq also have special procedures.

    What documents will you need to obtain your CONFERENCE Visa? 

    - An invitation letter from the organizers of the Conference (WFTO and FTF-I). FTF-I will email you this letter, once you have fully registered. Due to bureaucratic requirements, the first letters should be available from July onwards.

    FTF-I will no longer produce invitation letters after the 30 September 2017.

    - A letter of introduction/explanation from your company explaining your attendance to this event.

    The conference fee includes accommodation between 9 November 2017 PM and 14 November 2017 AM.

  • Valid Registration

    Your registration will only be valid once you have received a confirmation e-mail, after your payment has been approved. All payments should be received by WFTO within a maximum of 15 calendar days, or your registration will be automatically deleted.

    If you have registered and cannot attend the conference, you will be able to transfer your registration and room allocation to another person provided that this person belongs to the same category as you do (WFTO member or non WFTO member). However, please note that no transfers will be accepted after 30 September 2017.

     

    Cancellations

    The following policy will apply for refunds:

    a) Cancellations before 16:00 CET, 30 June 2017: you will be entitled to a full refund, with a deduction of EUR50 for administration fee and of any bank charges.

    b) Cancellations between 1 July and 1 August 2017: refund of 75% of the payment received, with a deduction of EUR75 for administration fee and of any bank charges.

    c) Cancellations between 2 and 31 August 2017: refund of 50% of the payment received, with a deduction of EUR100 for administration fee and of any bank charges.

    d) Cancellations on/or after 1 September 2017: no refund.


    Note: WFTO will endeavour to grant full refunds (minus bank charges and administration fee of EUR100) to any participant who cancels after 1 September 2017 and is able to prove that non-attendance is due to an unforeseeable event outside his/her control (ex.: major weather event, political unrest, sudden serious illness). WFTO will have the final decision on whether a refund should be granted or not. Full refunds will be dependent on the possibility to cancel/claim back costs already contracted with other parties. Requests for cancellation based on visa denials, lost flights, among others, will not be considered. If you have any problem, you can contact delhi2017@wfto.com

  • Payment

    There are three possible payment methods: Paypal, Credit Card and bank transfer. For Paypal and credit card, WFTO will send you a link for the payment within 5 days after your registration is submitted. For bank transfer, you are responsible for processing it in a way that payment is received in full by WFTO no later than 15 calendar days after the submission of this form.

  • You have selected the option to finalise your conference registration via Bank Transfer. Please note the following guidelines when making the payment:


    1- Include the combination “Delhi and YOUR LAST NAME” in the description. Ex: 'Delhi JONES'.

    2- Claim all transaction/bank costs as your own or add EUR 20 to the transfer to ensure the full amount is received by WFTO. Incomplete/partial payments do not guarantee the finalisation of the registration. If the payment is being processed by a third party, they still need to mention your details in the transfer description. 

    3- Payment needs to be received by WFTO within 15 calendar days of the submission of the registration form.

    The conference registration is not finished until you have received confirmation from WFTO that the payment has been received in good order.

    The requested amount will include PayPal charges. 

    You will receive the request via the provided e-mail within 5 working days. Payment needs to be completed within 15 calendar days after the request has been sent.

    In any cases, you do not need to create an account to use the Paypal platform to process the payment. If you get a pop-up asking you to sign up on Paypal, scroll to the bottom and chose the option ''no, thank you'', ''do it later'' or ''check out as a guest''.
